Inventory & Procurement

Full control of your stock: shortages before they happen, expiry before it costs you

Every item with its unit, pack, batch and expiry date. The system watches minimum levels for you, sends the alert to the manager on WhatsApp, and suggests the purchase order from the main supplier.

  • No item runs out without a warning
  • Closest expiry issued first, automatically
  • Every movement recorded with who and when
  • Stock value at any moment
  • Items and units

Each item is counted the way you buy and use it.

    • Categories, each with a counting method: by unit, by pack and unit, or by partial pack.
    • Quantities kept in the smallest unit and shown as full packs plus loose units, such as "12 boxes + 7 tablets".
    • Partial-pack items such as liquids, fabric or cable sold by the metre keep their remaining quantity.
    • A minimum stock level per item and per branch.
    • Barcodes and QR labels, item images and selling prices.
  • Batches and expiry dates

Stop losing goods that expire on the shelf.

    • Every receipt records the batch and expiry date. Expiry can be required per category.
    • First-expiry, first-out: issues automatically take the batch closest to expiry.
    • Expired batches cannot be issued without a manager's permission.
    • Open-pack shelf life: the system tracks the open date and what is left.
  • Stock movements

Every change in stock has a reason, a document and a person.

    • Receipts from a supplier invoice with many items in one go.
    • Issue and use in units or in packs.
    • Transfers between locations and between branches.
    • Adjustments with a reason, write-off of damaged or expired stock, and returns to the supplier.
    • Every change is a permanent line in the movement history.
  • Low-stock and expiry alerts

Nobody has to remember to check. The system tells you, wherever you are.

    • A red banner at the top of every page, a notification bell and a popup.
    • Desktop notifications.
    • WhatsApp messages to the manager through the official WhatsApp Business API, with a delivery log.
    • Each branch has its own alerts.
  • Suppliers and purchase orders

From alert to order in one tap.

    • One or more suppliers per item, with price and lead time, and one marked as the main supplier.
    • Straight from an alert: message the supplier on WhatsApp with a ready order, call them, or create a purchase order.
    • Quantities suggested from the shortage list.
    • Purchase order statuses: draft → sent → partly received → received, with partial receiving.
  • Stock counts, reports and roles

Counts without surprises, and reports in units, packs and value.

    • Count in full packs plus loose units. Differences become recorded correction movements.
    • Consumption per item for any period, balance and stock value, and movement history per item, batch or location.
    • Export to Excel and print.
    • Roles: admin, storekeeper, and staff who only record use.

Does it support several warehouses and branches?

Yes. Each branch has its own stock, locations, minimum levels and alerts, with transfers between locations and branches.

How do low-stock alerts reach me?

A red banner and a bell inside the system, a desktop notification, and a WhatsApp message to the manager.

Can I count stock from a phone?

The system works in a phone browser, so counts and movements can be recorded right in the warehouse.
